View Documents (Viewer)
1. Purpose
The Viewer role provides read-only access to approved documents in departments assigned to the user. Use this module to search, open details, and preview files — not to upload, edit, approve, or move records.
2. How to open
- Sign in as Viewer (or Administrator using the Viewer menu).
- Top bar → View Documents, or
- Sidebar → Viewer → View Documents.
URL: /documents (same path as Manage Documents; actions differ by role)
3. What you can do
- Search and filter the document list (title, code, type, category as shown)
- View document details (metadata, attachments)
- Preview or open files when the UI allows for your role
- See only documents in your allowed departments (and per system rules)
Layout is similar to Manage Documents but without edit, archive, upload, or approval buttons.
4. What you cannot do
- Upload new documents (need Contributor or higher)
- Edit metadata, location, or attachments
- Archive, restore, or delete
- Record document movements
- Approve, reject, or access confidential workflow (Administrator only)
5. Department access
If the list is empty, ask an Administrator to verify your user profile:
- Assigned departments in User Management
- Documents exist in those departments with status you are allowed to see (typically Approved)
Administrator users also see a Viewer menu link for convenience; full tools remain under Document Control and Admin Panel.
